How to enter or change the contents of a box

Use this when something on a box's list isn't quite right — the list says four candleholders but you count three, the box has been moved to a new shelf, the name could be more specific, or you've put something new in the box and want to keep the list current. Anyone on the editor team can change anything on a box that's in use.

What you'll need. Access to the Box Tracker editor (the link the church gave you), a desktop or laptop, and either the box ID printed on the label or a rough memory of the box's name so you can find it in the catalog.

Step 1: Find the box in the catalog. The catalog is the editor's direct path to the edit page. On the home page, click Browse catalog of boxes. The catalog lists every in-use box alphabetically by name — scroll, or use your browser's find-on-page (Ctrl-F on Windows, Cmd-F on Mac) to jump to the right entry. Click the box to open its edit page.

If you don't remember the box's name, head back to the home page first and use Search by name or contents to find candidates by item description — type a word from the box's name, location, or item list (for example, christmas or candleholders). Search shows you matching boxes; once you know which one you're after, open the catalog and click that box to edit it.

The Find a box by ID form is similar — useful if you know the exact ID, but it lands on the read-only contents view, so you'd come back to the catalog to actually open the edit page.

Step 2: Change what needs changing. The edit page is laid out in three sections:

Box name, Location, Notes (the top three fields). Edit any of them. When you're done, click Save box details to save those three at once. Notes is for anything that doesn't fit the name or location — fragile contents, who currently uses the box, an upcoming move.

Items list. Each item is its own row with its own Save button. Edit a row's name, quantity, or notes and press Save on that row to commit it. Press Delete to remove an item (you'll be asked to confirm before it's gone).

Adding a new item. Scroll to the bottom of the items list and expand Add a new item. Fill it in and save. Repeat for each new item.

Saves are independent. Each section saves on its own, so you can leave the page mid-edit and pick up later without losing what you've already saved. There's no “discard changes” step — whatever you've saved stays saved.

If the box is being taken out of service entirely — emptied out, repurposed, thrown away — don't clear out the items one by one. Use the orange Retire this box button at the bottom of the edit page instead. See how to retire a box for that flow.
